The Challenge
Horizon Staffing Group's recruiters were manually reviewing 500+ applications per open role, spending hours reading resumes, conducting repetitive screening calls, and coordinating interview schedules over email. Good candidates were slipping through due to slow response times, recruiters were burning out on repetitive screening questions, and there was no consistent way to evaluate candidates against actual job requirements. They needed an AI agent that could pre-screen applicants conversationally, assess fit objectively, and handle scheduling — without losing the human touch for final decisions.
The Solution
I built an autonomous AI recruitment agent using OpenAI's function calling and a RAG pipeline trained on each client's job descriptions, requirements, and evaluation criteria. The agent engages candidates through a conversational chat interface, asks role-specific screening questions, evaluates responses against weighted criteria (skills, experience, availability, salary expectations), and generates a structured fit score with reasoning. For qualified candidates, the agent automatically checks recruiter calendar availability via Google Calendar API and books interview slots, sending confirmation emails. Low-fit or borderline candidates are flagged with AI-generated notes for recruiter review instead of being auto-rejected, keeping humans in the loop for edge cases. A visual dashboard lets recruiters monitor screening pipelines, review AI evaluations, and adjust scoring criteria per role without needing developer involvement.
The Results
The AI-powered recruitment platform reduced the average time-to-shortlist from 9 days to under 2 days and automated 80% of initial candidate screening conversations. It also reduced recruiters’ time spent on repetitive screening calls by 75%, allowing them to focus on higher-value hiring activities. Consistent, bias-reduced evaluation criteria further increased qualified candidate-to-interview conversion by 34%.
